FAQs

I registered for the Regional Contracting Forum (RCF) after the scheduling instructions were sent. Can I still sign up for One-on-One appointments?

Yes. Attendees who register after the initial scheduling instructions are distributed may still participate in the One-on-One appointment scheduling process, provided appointment slots remain available.

Registered after September 11, 2026?

Event staff will email scheduling instructions to newly registered attendees at the end of each week through October 2, 2026. We encourage attendees to review these communications promptly, as appointment availability is limited and scheduled on a first-come, first-served basis.

What is the One-on-One Networking Session?

A structured networking opportunity where small businesses meet directly with prime contractors, consultants, and public agencies in scheduled 10-minute meetings to discuss capabilities, contracting opportunities, and potential partnerships.

Who should participate?

Small businesses, including Small Business Enterprise (SBE), Disadvantaged Business Enterprise (DBE), Minority- and Women-Owned Business Enterprise (MWBE) and veteran-owned firms, as well as prime contractors, consultants, and public agencies seeking to build connections and identify contracting opportunities.

How do I register?

Registration and scheduling information will be distributed prior to the event. Space is limited, and appointments are available on a first-come, first-served basis.

To make the scheduling process as equitable as possible, the appointment sign-up system will open on a specific date and time for all registered attendees. Communications with scheduling instructions, participating organizations, and important deadlines will be sent to registered attendees approximately 2 weeks before appointment sign-ups open. 

We encourage attendees to watch their email closely and register for appointments as soon as scheduling becomes available.

Is there a cost to participate?

No. Participation in the One-on-One Networking Session is included with Regional Contracting Forum registration.

Can I request a meeting on the day of the event?

No. All meetings must be scheduled in advance.

What should small businesses bring?

A capability statement, business cards, NAICS codes, a summary of services, relevant project experience, and questions about upcoming opportunities.

What should prime contractors and consultants bring?

Representatives familiar with contracting opportunities, business cards, procurement information, and details about upcoming projects or subcontracting needs.

How are the meetings structured?

Meetings are 10 minutes long with 5-minute transition periods between appointments. Participants will receive their schedules before the event. Participants should arrive 15 minutes before their scheduled appointment to check-in.

What is provided for hosted tables?

Each hosted table will receive seating, table identification signage, and a pre-scheduled meeting list.

I see that a prime contractor or consultant representative is not meeting with a business. Can I go speak with them?

To ensure fairness and honor the appointment scheduling process, participants should not approach prime contractors or consultant representatives for unscheduled One-on-One meetings during appointment times.

If a representative appears available, they may be:

  • Preparing for an upcoming appointment
  • Reviewing materials from previous meetings
  • Taking a scheduled break
  • Meeting with a waitlisted participant

If you are interested in connecting with an organization and were unable to secure an appointment, please check with event staff. Staff can determine whether there is availability, add you to a waitlist if appropriate, or help facilitate a connection during designated networking opportunities.

Outside of scheduled One-on-One appointments, participants are encouraged to network and exchange business cards throughout the Regional Contracting Forum.

Please note: Unscheduled meetings should not interrupt or replace appointments reserved for other participants. Event staff will work to ensure all attendees have equitable access to networking opportunities.

I’m a prime or consultant and a business wants to talk to me during my break, what should I do?

Break periods are built into the schedule to allow participants time to prepare for upcoming meetings, review notes, and take care of personal needs. To maintain a fair and organized experience for all attendees, unscheduled One-on-One meetings should generally be avoided during designated appointment times.

If a business approaches you during a break, you may:

  • Exchange business cards or contact information.
  • Encourage them to connect with event staff regarding waitlist opportunities.
  • Suggest a follow-up conversation after the One-on-One Networking Session or at another appropriate time during the event.

If you are available and willing to speak with a business during your break, you may do so at your discretion, provided it does not interfere with your upcoming scheduled appointments.

Please remember that many businesses may not have been able to secure an appointment, and event staff are working to ensure all participants have equitable access to networking opportunities. When possible, staff may help facilitate connections through the waitlist process or other networking opportunities during the Regional Contracting Forum.

What if I cannot get a meeting with an organization I want to meet?

A waitlist may be available. Participating organizations may also receive contact information from interested firms for follow-up after the event.

I’ve been waitlisted, how will I know I’ve been selected for an appointment?

Before the event:
If an appointment becomes available prior to the event, event staff will contact you via email with your confirmed appointment details, including the organization you will be meeting with and the scheduled meeting time.

During the event:
Event staff will continue to manage the waitlist throughout the One-on-One Networking Session. If an appointment becomes available due to a cancellation or no-show, waitlisted participants may be offered the opportunity to fill the slot. Event staff will begin contacting waitlisted participants approximately five minutes before the appointment time when an opening becomes available.

Please note that placement from the waitlist is not guaranteed and will depend on appointment availability.

What if I miss my scheduled meeting?

The One-on-One Networking Session is designed to help small businesses connect directly with prime contractors and consultants. If you are unable to attend a scheduled appointment, please notify event staff as soon as possible so the opportunity can be offered to another business.

Before your appointment:

  • Participants are required to arrive 15 minutes before their appointment to check-in.
  • If you are not present at the event, staff will attempt to contact you by phone approximately 10 minutes before your scheduled meeting.
  • You will have up to 5 minutes to confirm your participation and arrive at the appointment location.

If you are not available:

  • Your appointment slot may be released to a waitlisted participant to ensure the opportunity is fully utilized.
  • Event staff will make every effort to accommodate participants when possible; however, missed appointments cannot be guaranteed to be rescheduled.

We encourage all participants to arrive early and monitor their phone during the event to avoid missing their scheduled meetings.

Will I receive a list of participating organizations?

Yes. Information on participating prime contractors, consultants, and agencies will be shared 1-2 weeks before scheduling opens.
